How Source of Hire Recruitment collects, uses, and protects your personal information. Aligned with the Australian Privacy Act 1988 (as amended in 2024), the UK GDPR and Data (Use and Access) Act 2025, and applicable US state privacy laws.

01Information we collect
We collect information you provide directly to us when you create an account, build a candidate profile, apply for a role, set up a job alert, or submit a job request as an employer.
Account data: Name, email address, and an optional phone number. Your password is never stored — only a salted hash of it.
Candidate profile data: Professional title, industry, years of experience, skills, location, availability, salary expectations, a professional summary, and optionally your work history and education.
Resume and applications: The resume file you upload, and any cover letter you write when applying for a role. Your resume and cover letter contain whatever you choose to include — we recommend not including sensitive information (such as health, religious, or financial details) unless it is relevant to your application.
Job alerts: The email address and search criteria (industries, locations, keywords, job types) you choose for an alert.
Employer data: Company name, contact details, and the details of job requests you submit.
Technical data: Standard server logs, including IP addresses, kept for security and troubleshooting.
Usage data (only if you opt in): Anonymous first-party analytics — pages viewed, time on page, the referring site on arrival, a coarse device class, and a random identifier that is never linked to your account. Off by default; see our Cookie Policy.
We do not collect payment information through this platform.
02How we use your information
We use the information we collect to:
- Operate the job board and your account
- Process job applications and pass them to the relevant employer through our recruiters
- Send you the job alerts you set up, and service messages about your account
- Review and respond to employer job requests
- Respond to your questions and requests
- Keep the platform secure and prevent fraud and abuse
- With your consent, measure anonymous usage of the board (pages viewed, time on page) to improve it
We do not sell your personal information, build advertising profiles, or use third-party analytics trackers.
03Automated decision-making
We do not use automated decision-making or profiling that produces legal or similarly significant effects for you.
Job search on this platform is keyword- and filter-based: results simply match the criteria you type. Job alerts are sent when new listings match criteria you chose yourself. Every job application and employer request is reviewed by our recruiters — people, not algorithms. No software screens, ranks, scores, or rejects candidates on this platform, and we do not use AI-based matching or ranking.
AI-assisted profile completion (optional, at your request only). Where available, you can choose to have your uploaded resume read by an AI service to pre-fill your candidate profile. This happens only when you press the button — never automatically. When you use it, the content of your resume is processed by a third-party AI service under contractual safeguards, and the suggested profile fields are returned to you to review, edit, or discard before anything is saved. Your resume is not used to train any AI model, and the output has no effect on how your applications are handled — no screening, ranking, or scoring, ever. If you never use the feature, your resume is never sent to an AI service.
04Information sharing
We may share your information in the following circumstances:
- With employers: When you apply for a role, your application materials (profile, resume, and cover letter) are shared with the employer for that role, through our recruiters. Employers cannot browse candidate profiles on this platform.
- Service providers: We use infrastructure providers (such as hosting) to run the platform, under contractual safeguards.
- AI processing (only at your request): If you choose to use AI-assisted profile completion, your resume content is processed by a third-party AI service solely to generate profile suggestions for you — see "Automated decision-making" below. It is not used for training and is not shared beyond that processing.
- Legal compliance: When required by applicable Australian, UK, US, or other law, or to protect rights and safety.
- Business transfers: In connection with mergers, acquisitions, or asset sales.
05Data retention
We retain your personal information for as long as your account is active. You can request deletion of your account and associated data at any time by contacting us.
Candidate profiles, resumes, and job applications are retained for up to 24 months after your last activity, after which they are reviewed and removed. Some records may be retained longer where the law requires it or where we need them to resolve disputes or enforce agreements.
06Your rights
Under the Australian Privacy Act 1988 (as amended by the Privacy and Other Legislation Amendment Act 2024), the UK GDPR and Data Protection Act 2018 (as amended by the Data (Use and Access) Act 2025), and applicable US state privacy laws, you have the right to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Request deletion of your personal information
- Object to processing of your information
- Request data portability
- Withdraw consent at any time

If you are unhappy with how we handle your data, you can complain to us directly — we acknowledge complaints within 30 days and respond without undue delay — or to your data protection authority: the OAIC in Australia (oaic.gov.au), the ICO in the UK (ico.org.uk), or the relevant state authority in the US. In Australia, a statutory tort for serious invasions of privacy (in force since June 2025) also gives you a direct legal avenue for serious, intentional, or reckless privacy invasions.
07Security
We protect your personal information with technical and organisational measures, including:
- Passwords stored only as salted argon2id hashes
- Session tokens stored only in hashed form, in secure HTTP-only cookies
- Encryption of data in transit
- Access controls limiting who can see candidate and employer data
- Collecting only the data the service needs
We understand that job seekers trust us with sensitive career and salary information, and employers trust us with confidential hiring plans. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security of your data.
08International data transfers
Source of Hire Recruitment works with clients and candidates internationally, including in Australia, the United Kingdom, and the United States. Your data may be transferred to and processed in countries outside your country of residence. When we transfer data internationally, we apply appropriate safeguards in accordance with the Australian Privacy Act 1988 cross-border disclosure requirements, the UK GDPR (including standard contractual clauses where applicable), and applicable US state privacy laws.

We may update this privacy policy from time to time. We will post any changes on this page and update the "Last updated" date shown above.
